Operations Manager

The Operations Manager provides strategic and administrative support to the President &
Director of Business Development, while overseeing membership engagement, event
management, financial coordination, communications, office operations, and organizational
systems for the Estes Chamber. This position plays a key role in supporting Chamber programs,
fostering member relationships, coordinating community initiatives, and ensuring the smooth
day-to-day operation of the organization. This position is paid hourly and reports directly to the
President.

Education & Experience:
● High school diploma or equivalent (GED) required; secondary education preferred.
● Minimum three (3) years of administrative, operations, event coordination, customer
service, or nonprofit/chamber-related experience preferred.
● Experience with event planning, sponsorship coordination, membership management,
and communications strongly preferred.
● Experience with ChamberMaster CRM, Constant Contact email marketing software,
Canva, QuickBooks, and Microsoft Office Suite preferred.
● Strong understanding of customer service, relationship management, and community
engagement.

multiple priorities and deadlines simultaneously.
● Strong written and verbal communication skills with proofreading and editing abilities.
● Ability to work independently, take initiative, and problem-solve in a fast-paced
environment.
● Professional and welcoming customer service skills when working with members,
sponsors, community partners, and the public.
● Experience coordinating events, volunteers, logistics, and sponsorship fulfillment.
● Ability to maintain confidentiality and professionalism in sensitive situations.
● Comfortable speaking with members regarding sponsorships, membership investment,
collections, and event participation.
● Proficient with Microsoft Office Suite, Google Workspace, Zoom, Canva, and database
management systems.
● Ability to occasionally work evenings and attend Chamber events as needed.

Responsibilities may include but are not limited to the following:

Membership & Business Engagement:
● Manage member recruitment, onboarding, retention, and engagement efforts.
● Serve as a primary point of contact for Chamber members, EDWC investors, the
Nonprofit Community and prospective members.
● Process membership applications, renewals, sponsorships, and invoicing through
ChamberMaster.
● Maintain accurate member records, directories, mailing lists, and database information.
● Respond to member & investor inquiries and assist with maximizing benefits and
visibility.
● Coordinate member & investor communications, newsletters, drip campaigns, and
outreach efforts.
● Review and approve member submissions including events, job postings, hot deals, and
directory updates.
● Support member & investor retention efforts through relationship building and
follow-up communication.

Event Planning & Program Coordination:
● Plan, coordinate, and execute Chamber, EDWC & Foundation events, networking
programs, educational workshops, ribbon cuttings, leadership programs, and community
initiatives ranging from small meetings to large-scale events.
● Coordinate event logistics including venues, catering, speakers, sponsors, volunteers,
registration, timelines, setup, and vendor communication.
● Create and manage event registration pages, RSVPs, attendee communications, waivers,
and post-event follow-up.
● Work collaboratively with community partners, presenters, businesses, and volunteers
to ensure successful programming.
● Assist with sponsorship sales, sponsor communication, and fulfillment of sponsorship
benefits.
● Attend and help manage the majority of Chamber, EDWC & Foundation events, including
occasional evening events.
● Support the development of new Chamber, EDWC & Foundation programs and
engagement opportunities.

Financial & Administrative Support:
● Generate and track invoices for membership dues, investors, sponsorships, and events.
● Process payments, deposits, reimbursements, and vendor invoices through QuickBooks
and ChamberMaster.
● Manage accounts receivable aging and communicate professionally regarding
outstanding balances and collections.
● Assist in monitoring budgets and tracking event financial performance.
● Coordinate office operations, software subscriptions, supplies, and vendor relationships.
● Prepare reports, board packets, membership updates, and supporting documentation as
needed.
● Assist with board meeting preparation, scheduling, agendas, and meeting minutes.
● Maintain organized digital and physical records and filing systems.

Marketing & Communications Support:
● Coordinate event marketing needs with the Director of Marketing in a timely manner.
● Draft and distribute member communications, event emails, press releases, newsletters,
invitations, and promotional materials.
● Assist with maintaining Chamber website content and event listings.
● Design and produce event graphics, flyers, digital promotions, and marketing materials
using Canva.
● Ensure consistent and professional communication across Chamber platforms.
Community & Organizational Support:
● Support Chamber initiatives that strengthen local business and nonprofit engagement
and community connection.
● Build positive relationships with members, volunteers, community leaders, and partner
organizations.
● Represent the Chamber professionally within the community.
● Assist with special projects, strategic initiatives, and additional operational needs as
assigned.

The position is permanent full time with flexible hours. Salary range is $22-$25 per hour
based on experience
